The 2007 October Conference will be held in the Great Hall, Adelaide Masonic Centre
commencing 2pm on Saturday 13 October

Extract from Regulations concerning Annual Conference

17.1. There shall be an annual conference of the Association held in October of each year (“the Annual Conference”) at such time and such place as may be determined by the Grand Master or his delegate.

17.2. The purpose of the Annual Conference is to promote and facilitate the discussion of all matters relating to policy of the Association.

17.3. The Annual Conference shall be organised by the Grand Superintendent and shall be chaired by a member as may be appointed by the Board of Management.

17.4. The following timetable shall apply to the Annual Conference:

17.4.1. The last working day of May – Letter from the Grand Secretary to each Lodge asking that motions proposed to be discussed at the Annual Conference be provided to him with a short explanatory memorandum by the last working day of July.

17.4.2. The last working day of July – Receipt by the Grand Secretary of any items, which Lodges wish to be discussed.

17.4.3. The second Friday of August – Letter from the Grand Secretary to each Lodge advising of all matters for discussion at the Annual Conference and enclosing a form inviting attendance at the Annual Conference and the appointment authorising a particular member to exercise the voting rights of that Lodge.

17.5. All members of the Association are eligible to attend and, subject to recognition by the chair, speak at the Annual Conference.

17.6. Each Lodge shall have one vote at the Annual Conference and such vote shall be cast by the duly authorised member of the Association whether that member is a member of the Lodge concerned or not.

17.7. Each Lodge may appoint one of its members or a member of another Lodge to act as its delegate at the Annual Conference and a letter signed by the Master or Secretary of a Lodge shall be and constitute sufficient proof of such appointment.

17.8. Every member who claims to be eligible to vote at the Annual Conference must have presented the letter referred to in 17.7 to the member appointed to receive such authorities by not later than 15 minutes before the scheduled starting time of the Annual Conference save always that the Chairman of the Annual Conference shall have, at his absolute discretion, power to extend this time in the interest of allowing properly authorised persons to vote at the Annual Conference.

17.9. Each duly authorised delegate is entitled to cast one vote for each and every Lodge for which his authority to vote on their behalf has been duly recognised.

17.10. Voting at the Annual Conference shall be by show of hands and shall be decided by a bare majority.

17.11. In the event that the Chairperson of his own motion or by vote at the Annual Conference shall require it a vote may be decided either by a division or by secret ballot.

17.12. The Chairperson of the Annual Conference shall prepare a report for the Board of Management summarising all matters considered and voted on at the Annual Conference.

17.13. Such report shall be considered by the Board of Management at its next appropriate meeting and the Board of Management shall take such action in relation to each issue as it sees fit.
